Instead of using a fixed set of pre-defined messages for PO, project confirmations etc you can define as many templates as you like in any language you like. Espresso messaging templates can use existing values from system records such as Projects, Clients, Invoices etc. This feature allow you to create pre-filled messages on the fly.</p>
<p>Messaging templates come in 5 flavors:</p>
<p>- Client (client-related messages)<br />- Sales/Projects (sales- and project related messages)<br />- Resources (communication with your vendors)<br />- PO (purchase orders)<br />- Invoices (invoices and follow-ups).</p>
<p><strong>Managing templates</strong></p>
<p>Your Espresso installation comes with a set of pre-defined templates. You can edit them and add templates of your own. Click 'Settings-&gt;Messaging templates' to open the management page:</p>

You can use placeholders to fill them with values from system objects when creating messages. The list of available placeholders is displayed below the editing field. <p>To call the value simply insert a placeholder in your template as &lt;%projectcode%&gt; (the name enclosed in "&lt;% %&gt;" tag. This placeholder will be replaced by a value from the database when creating a new message.</p>
<p>4) Save the template. It is immediately ready to use in all relevant Espresso modules.</p>
<p>5) To add a new template, select template type from the dropdown list and click 'Add'. Edit the new template and save it. &nbsp;It is immediately ready to use in all relevant Espresso modules.</p>
<p><strong>Using template-based messages </strong>&nbsp;</p>

<p>We are happy to announce a release of a new Espresso version. Version 2.6.3 adds a large set of new features to the already very complete management system:</p>
<p>1) A new, fully revamped <strong>messaging</strong> system that is now fully integrated into Clients, Sales, Resources and Project management modules. You can pre-define your own templates for Espresso e-mail messages. Such templates can use placeholders that can be automatically pre-filled with Espresso data, saving your time and making your communication more consistent. All sent messages can be accessed and edited through Espresso.&nbsp;</p>
<p>2) You can grant Espresso <strong>webaccess</strong> to your clients, allowing document and message exchange and quote requests directly from Espresso.&nbsp;</p>
<p>3) Project search and task search pages are extended with <strong>language</strong> and <strong>feedback</strong> search options.</p>
<p>4) We added Events to both Sales and Project modules allowing you to schedule customer events directly from project pages.&nbsp;</p>
<p>5) Performance and bugfixes, including better Mac and Linux compatibility.</p>

<p>We are happy to announce the 2.6.1 version of Espresso. The rollout to existing clients has been started from January 1st 2011. What's new?</p>
<p><strong>1. Widescreen interface.</strong></p>
<p><span class="full-image-block ssNonEditable"><span><img style="width: 460px;" src="http://espresso.silverink.nl/storage/Screen%20shot%202011-01-04%20at%2009.52.33.PNG?__SQUARESPACE_CACHEVERSION=1294133604800" alt="" /></span></span>The new Espresso interface is 30% wider than the old interface providing more space for information to be displayed. All existing application screens were re-designed to accomodate for this change.</p>
<p><strong>2. Client-specific translation memory</strong></p>

You can create as many TM breakdowns as you want. All client-specific breakdowns will automatically appear in dropdown menus.&nbsp;</p>
<p><span style="text-decoration: underline;">To create a new client-specific TM breakdown:</span></p>
<p>1. Open the client record<br />2. Go to the TM tab<br />3. Add a new breakdown or edit the existing one.</p>
<p>You can also edit all TM breakdowns in the Settings module:</p>
<p>1. Open the Settings module (you need administrator rights to access it)<br />2. Go to the TM tab<br />3. Edit ant existing TM breakdown.</p>
<p><span style="text-decoration: underline;">To apply a client-specific TM breakdown while creating a new translation task:</span></p>

Upload a log file (TRADOS CSV, SDL TRADOS XML or SDLX logfile)<br />4. Add the nomatch rate if you didn't provie it in advance<br />5. Choose an appropriate TM breakdown from the dropdown menu<br />6. Click '%=' button to recalculate the grid.</p>
<p><strong>3. New assignment procedure</strong>.</p>
<p>We've redesigned the assignment procedure to eliminate some steps from the assignment process making it quicker and more efficient:</p>
<p><span style="text-decoration: underline;">To assign a task:</span></p>
<p>1. Open a project and go to the Assignments tab<br />2. Select a task you want to assign and click the 'Assign' button. You will see a search form.<br />3. Enter any search criteria you like (they are restrictive meaning that they are considered as AND criteria. The more criteria you choose, less results you see).&nbsp;</p>

<p>- 'New' resources are marked green. 'Known' resources are not color-coded<br />- A heart icon stands for 'preferred resource for this client'<br />- A sun icon stands for 'resource with vacation note'<br />- E-mail address is clickable. Click it to create a new e-mail message<br />- If a resource is already engaged with your company you'll see a number of open assignments<br />- Click the 'Euro' button to open a screen with resource rates<br />- Click the 'Select' button to open the Assignment screen and assign this task to a resource of your choice.</p>

<p>- Choose a name of a person if you are assigning this task to a company<br />- The number of units is already pre-filled using the Task details<br />- The type of units is already pre-filled using the Task details<br />- Click one of the displayed rates to pre-fill the Unit rate or do it by hand.<br />- Clicking (selecting) the rate also pre-fills the TM calculator in case of translation task<br />- Choose the currency. The Assignment value will be immediately displayed&nbsp;in your company currency&nbsp;<br />- Choose the deadline. Double click the date field to display a Calendar picker<br />- Apply any of client TM breakdowns (only for translation tasks)<br />- Upload a new TM analyse logfile if you want to use another breakdown<br />- Check boxes below to select other tasks of the same type with the same financials to the same vendor.<br />- Click 'Assign to proceed'</p>
<p>6. To edit the Assignment:</p>
<p>- Click the Edit icon to open the Assignment Edit form<br />- Change any details<br />- Click 'Close and save'</p>
<p>7. To delete the Assignment:</p>
<p>- Click the Delete icon and confirm your decision</p>
<p><strong>4. Timesheet</strong></p>

<p><span style="text-decoration: underline;">To book hours:</span></p>
<p>1. Click Timesheet (main menu) <br />2. Select a person (only administrators can select other users)<br />3. Choose a project<br />4. Choose a date<br />5. Choose a number of hours and quarters<br />6. Add a very short description<br />7. Click 'Save'</p>
<p>The Timesheet page displays the last 7 days (by default).</p>
<p><span style="text-decoration: underline;">To view the Timesheet reports:</span></p>
<p>1. You need to have a Report access to view this report<br />2. Click Timesheet and select Report<br />3. Choose any criteria you like and click 'Search'<br />4. You will be shown an overview of all bookings that meet your criteria.</p>

<p>We are happy to announce the 2.6 version of your favorite workflow management tool. The new version introuduces a range of requested features and includes bugfixes for all reported issues.</p>
<p><strong>What's new in 2.6?</strong></p>
<ol>
<li>Various interface imporovements.</li>
<li>Project transfer. Starting from version 2.6 you can transfer an existing Project to another Client. To transfer a project:&nbsp;<br /><br />- Find a project you want to transfer and open it.<br />- Select the Project tab<br />- Click on the red 'Update' link next to the Client name field. <br />&nbsp;&nbsp;You will be presented with an input field.<br />&nbsp;&nbsp;Start typing the name of the Client to whom you want to transfer this project. <br />&nbsp;&nbsp;Espresso will show you&nbsp;a list of matching Clients (limited to 5 records). <br />&nbsp;&nbsp;Select one of the names and confirm your decision.&nbsp;<br />&nbsp;&nbsp;The Project will be immediately transferred to a new Client.<br /><br /></li>
<li>Minimum rate per Task. Starting with version 2.6 Espresso allows you to define a minimum Task rate. Effectively, it means that Espresso will warn you about the potential issue every time you try to add a new Task with a value lower than your minimum Task rate. This is a Company-wide setting. This feature is disabled per default. Ask your Espresso consultant to configure this feature for you.</li>
<li>Minimum rate per Assignment. Starting with version 2.6 Espresso allows you to define a minimum Assignment rate. Minimum Assignment rate is an existing property of a Resource record. You can find and edit minimum rate settings per language/expertise combination. Effectively, it means that Espresso will warn you about the potential issue every time you try to create a new Assignment with a value lower than a minimum Assignment rate of a Resource.&nbsp;</li>
<li>Expertises in Record work profile. The standard work profile has been extended to include Expertise matching for language combinations. That allows you to maintain several rates for a language combination depending of a type of work (Marketing, Technical etc). &nbsp;Espresso automatically selects correct rates matching Project expertise when creating an Assignment.</li>
<li>Espresso 2.6 adds an important business decision information to each Resource record: average % margin per Assignment. You can find this information on the History tab of the Resource profile and it is also automatically displayed in the Resource search window in Project Assignments if you let Espresso search by Task properties (without providing a Resource name). Please note that in order to calculate margins correctly Espresso ignores Tasks having more than one resource assigned.</li>
<li>Copying Quotes and Projects using CCQ and CCP functions preserves all template unit rates and allows you to register new TRADOS/SDLX logs immediately saving your time on finding applicable rates.</li>
<li>Translation tasks allow for a short description per Task. Please note that you would need to change your Quote and Invoice templates if you want to display this additional information on your documents. Please contact your Espresso consultant to assist you.</li>
<li>Client rates are extended with Expertises. That means that you can now maintain several rates for a language combination depending on a type of work (Marketing, Techncial etc). These rates will be automatically matched to the Project expertise when creating or editing a Quote or a Project.</li>
<li>Espresso 2.6 introduces a possibility to mark a Quote or a Project as a 'Quote'. That means that such a project is not a part of a regular Project workflow and requires additional sales effort. We have added this feature to create a differentiation in Reports between regular inbound projects for regular customers and projects that involve certain efforts. You will find a whole new section in the Sales YTD report that displays Quote statistics. Your Espresso 2.5 figures are still listed in the same report but are now labelled as New Projects. <br /><br />To mark a Project as a Quote:<br /><br />- Select a Project and open it<br />- Open the Project tab and check the box at the right-top of the screen saying Quote. From now on<br />&nbsp;&nbsp;this Project will be listed as a Quote. Checking the Quote box doesn't affect any of the reports<br />&nbsp;&nbsp;on New Projects.<br /><br /><strong>Please note</strong>: &nbsp;we are considering a change in terms renaming Quotes (as in Espresso 2.5) to Draft Projects.</li>
<li>A link between existing Resources marked as Internal resource and existing User profiles. Espresso 2.6 allows you to connect Resource and User profiles making it possible to create custom reports assessing performance of in-house staff (volumes, margins on internally managed projects etc). Please contact your Espresso consultant if you are interested in more information on this subject.</li>
<li>Client-specific pricelists can now be managed directly from the Client record allowing you better view of used rates. To manage a Client pricelist:<br /><br />- Find a Client record and open it.<br />- Open the Prices tab. All already existing Client-specific pricelist entries <br />&nbsp;&nbsp;are already listed on this Tab. You can now add, edit and delete rates from this page.</li>
