1.2 Espresso glossary

Company: Top entity in Espresso 2.5. All users, locations, projects etc belong to a company.

Location: A company in Espresso 2.5 can consist of multiple locations or offices. All offices conduct business independently but can share user and resource information.

User: Any unique login is a user. Every user can be “attached” to any location and given a role. All menu structures are organized about user security information. Users can have different roles in different locations.

Role: Standard setup recognizes 5 roles: AM or account manager, PM or project manager, FM or financial manager, RM or resource manager and AD or location administrator. Users can have several roles.

Client: A client record with existing projects a client.

Client-group: A group of clients with common features like ‘translation agencies’ or ‘government offices’. You can maintain separate pricelists per group of clients.

Prospect:A client record with sales perspective is a prospect.

Lead: All other client records

Active or hidden record You can temporarily hide inactive client records to clean up the database without deleting them. This status can be reversed back to active at any time.

Quote: Quotation document or tender that is sent to the customer for confirmation. A quote consists of general project information, tasks description and financials. If confirmed by the customer, the quote can be converted into a project. Quotes can be deleted from the system without consequences. Deleted quotes remain hidden in the system and can be undeleted if required.

RFQ: Request for Quote

Project: Quotes can be converted into projects. Project consists of tasks and assignments. Project can be invoiced and delivered when ready.

Task: A single language-pair job within a project. Tasks can be assigned to one or multiple resources.

Resource: Any contractor or in-house personnel that can be assigned to a task. Resource can be marked as ‘internal’ and ‘external’ for reporting purposes.

Assignment: An instance of resource assigned to a certain task.

Invoice: Financial document that can be issued within a project. Each project can be invoiced in installments. Separate invoices can be aggregated in aggregated invoices or overviews

Overview: An overview is a not-numbered financial statement that can be assembled manually from already issued invoices.

Report: Snapshot view of the financial and operational performance of the company or location.

YTD: Year-to-date

WIP: Work-in-progress

Pricelist: Espresso 2.5 maintains three types of pricelists: general, client-group bound and client-specific. Pricelists can be maintained implicitly by automatically collecting information from quotes and explicitly by manually managing all pricing information. Pricelist information is used every time you create a new quote.
